Key Responsibilities

Customer Service & Communication

• Greet customers and listen carefully to their vehicle concerns
• Clearly explain repairs, maintenance needs, and associated costs
• Keep customers informed throughout the service process
• Obtain approval before any additional work is performed
• Handle customer questions, concerns, and complaints professionally

Repair Order Management

• Create accurate and detailed repair orders based on customer concerns
• Document customer and vehicle information clearly
• Ensure all documentation meets California B.A.R. standards
• Maintain organized and up-to-date service records

Estimating & Sales

• Prepare estimates for parts, labor, and services
• Recommend preventive maintenance and additional services when appropriate
• Build trust with customers and gain authorization for repairs

Shop Coordination

• Communicate effectively with technicians regarding vehicle issues and repair needs
• Ensure technicians have completed and accurate information
• Help maintain an efficient workflow in the shop

Parts Management

• Order, track, and manage parts for repair jobs
• Work with vendors to ensure timely delivery
• Source alternative parts when items are unavailable or delayed
• Verify accuracy of parts upon arrival and distribute to technicians

Administrative & Operational Tasks

• Process invoices, payments, and customer transactions
• Manage work orders and billing
• Help keep the office and shop clean, organized, and safe

Required Skills & Qualifications

• Strong knowledge of automotive systems and repair processes
• Excellent communication and customer service skills
• Ability to explain technical information in a clear, simple way
• Strong organizational skills and attention to detail
• Comfortable using computer systems (Windows-based software and Gmail)
• Ability to multitask in a fast-paced environment
• Valid driver’s license
