The Estimator plays a pivotal role in driving the company’s revenue growth. Proficiency in estimating and claims processes is a plus, but more importantly, the ideal candidate should excel in negotiation, sales, and communication. A positive attitude towards both customers and colleagues, along with a commitment to upholding a professional business image, is essential. This position involves a great deal of contact with the public.  For this reason, they must be friendly, accommodating, cheerful, well-groomed, and helpful.

These qualities are essential to achieving an acceptable closing ratio and customer satisfaction index (CSI).

As the old saying goes, “You never get a second chance to make a first impression.”

Following, but not limited to, are the duties and responsibilities of the

Collision Center Estimator:

  • Providing excellent Customer Service.
  • Greeting customers, maintaining a conversation, and educating all customers about the claim and repair process when they come in for an estimate.
  • Speak to and offer assistance to anyone waiting in the office (i.e. coffee, soft drinks).
  • Managing and maintaining all DRPs, including following up with prospective DRP relationships.
  • Writing estimates of damage ensuring these estimates are written to company standards to limit any supplements and maximize profits.
  • Maintaining a minimum estimating closing ratio of 75%.
  • Reviewing and explaining estimates with customers, providing the customers with a copy of the estimate, and referring them to the Customer Service Representative for scheduling the repair.  The Customer Service Representative will give them a target delivery date. If the Customer Service Representative is not here, then the estimator will schedule the repair.
  • Obtaining repair authorization as needed (closing the sale).
  • Negotiating repair costs with Insurance Appraisers.
  • Managing all supplements and reinspections throughout the repair process, documenting with images, this includes the taking of images and storing of images.
  • The following up and documentation of supplement items reported by technicians.
  • The adding of correct labor charges to RO at the moment of authorization.
  • The coordination of notifying the parts manager of supplement parts that need to be ordered.
  • Communicating any repair status changes to Management and Customer Service Representative and documenting this communication in notes.
  • Requesting authority from the customer and insurance representative for the change in any repair process.
  • Responsible for seeing that any special requests or repair procedures from the customer or insurance company as well as any promises made by the company will be noted on the estimate notes and work order.  This includes prospective customers.
  • Noticing and offering free courtesy repairs to aid in selling a non-committed prospect.
  • Adhering to insurance company policies.
  • Monitoring repairs throughout the repair process to ensure a quality repair and that our customer’s needs will be met or exceeded.
  • Upselling non-accident-related damage when found during the estimating process or vehicle check-in on outside repair estimates.
  • By meticulously inspecting estimates and vehicles for unique circumstances such as dents or chips in blend areas, pre-existing tire wear, and dents in adjacent panels, you will have the opportunity to provide estimates and secure customer approval for out-of-pocket repair expenses, ultimately reducing delays in the repair process.
  • Participating in the daily production meetings.
  • Maintaining a clean and orderly work area.
  • Observing all safety procedures.
  • Before delivery of the vehicle, review and finalize all billing documentation, including supplements, invoices, and any special correspondence to be sure that everything is in order before notifying the customer.  This is necessary to have time to receive authorization on supplements from insurance companies that we do not have relationships with before the car leaves our shop.
  • Closing and archiving completed ROs and moving preliminary estimates to storage.
  • Review estimates and supplements for maximum allowable hours.
  • Estimator will serve as a backup for Management and Parts Manager and assist them as needed.
  • The estimator will request backup from Management when the workload becomes excessive.  This would help maintain quality estimating and attention to the client.
  • The estimator will be responsible for checking our stock parts when we need LKQ parts in a job.
  • The estimator will be responsible for keeping abreast of all new estimate techniques and processes.
  • Maintaining accuracy of data input including typographical errors.
  • Maintaining completeness of owner and vehicle data entry.
  • Acting as the contact for our customers with future concerns, problems, or additional services.
  • The use of judgment in matters affecting the quality of Collision Center repairs.
  • The use of judgment in matters affecting the profitability of a job.
  • The continuous search for “not included items” and any other areas of lost revenue.
  • The estimator will take photos of parts to be ordered when writing direct repair.
