Automotive Accounting Assistant - Summary

Receives calls at the dealership, determines the nature of their business, and directs callers to their destination. Answers basic inquiries, routes incoming calls, takes messages, and provides basic information to all callers. Performs various administrative duties as outlined below.

Automotive Accounting Assistant - Essential Duties

  • Operates a multi-line phone system answering incoming phone calls for dealership.
  • Answers all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly.
  • Provides voice mail for callers if employee cannot be reached. Takes detailed messages when voice mail is not taken by caller and delivers message to appropriate party in a timely manner.
  • Greets showroom customers in a professional, friendly, hospitable manner and determines the nature of their visit.
  • Directs customers to the correct department, notifies the appropriate employee that a customer is waiting and introduces the customer to a Salesperson.
  • Maintains a personal demeanor consistent with dealership culture, contributing a positive, supportive work environment for all dealership team members.
  • Completes and issues loaner car agreement for the service and sales departments. Maintains organization of completed agreements.
  • Issues and tracks dealer plates for the sales department.
  • Prepares and logs the daily deposit and checks for accuracy for dealership.
  • Receipts all monies received from vehicle sales down payments, including credit cards daily.
  • Balances and maintains the daily cash flow of sales from service and parts and any money coming in from vehicle sales.
  • Processes dealer trades and wholesales to be stocked in, follows process set forth by the General Manager.
  • Issues and tracks dealer plates for sale department.
  • Helps review and process deal folders for electronic scanning, make trade-in vehicle jackets and processes payoff checks when needed.
  • Process and audit paperwork on dealer trades.
  • Coordinates Monday and Thursday dinner orders and Saturday lunch orders for the sales department.
  • Scans and sorts previous days service repair order (ROs) and accounting copies.
  • Indexes service ROs for dealership.
  • Posting of warranty claims payments form.
  • Posting Wholesales.
  • Posting A/P invoices and processing A/P check runs.
  • Tracking of titles and lien releases for vehicle inventory

Automotive Accounting Assistant - Other Duties

  • Places orders for office supplies for dealership.
  • Assists with clerical duties as requested such as copying, scanning, filing, etc.
  • Assists with maintaining the look and feel of the showroom including opening procedures.
  • Assists the General Manager with other projects and duties as assigned. Qualifications/Requirements.
  • Must have exceptional customer service skills.
  • Must have excellent phone etiquette.
  • Must have excellent verbal and written communication skills.
  • Must be punctual, dependable and reliable.
  • Must have strong computer aptitude, specifically with Microsoft Word and Excel.
  • Must have the ability to multi-task in a fast-paced environment.
  • Must possess strong organizational skills.
  • Must have the ability to work independently on assigned tasks as well as to accept direction on given assignments.

Automotive Accounting Assistant - Qualifications

Automotive Accounting Assistant - Education and/or Experience

  • No prior experience or training.
  • Less than high school education; or up to one-month related experience or training; or equivalent combination of education and experience.
  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
  • Associate degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Bachelor's degree (B.A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Two to four years related experience and/or training; or equivalent combination of education and experience

Automotive Accounting Assistant - Language Skills

  • Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Automotive Accounting Assistant - Mathematical Skills

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.

Automotive Accounting Assistant - Reasoning Ability

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
