Audi Beaverton is seeking a Service Loaner Agent to serve as the face of our service department for automotive service loaner agent jobs Beaverton OR and Audi Beaverton loaner fleet coordinator roles.

This role manages the service loaner fleet, and the first impression customers have when they trust us with their vehicles. You will coordinate loaners, so every client stays mobile and satisfied while their vehicle is in our care. As a Sunset Imports service loaner agent, loaner contract check in check out agent, or automotive rental agency loaner coordinator, you’ll complete loaner contracts, handle check-in and check-out, keep the fleet organized, and support guests with a professional service experience.

Rental-car or guest-services experience is a plus. Key Responsibilities:

• Meet and greet service customers promptly and guide them through the loaner process
• Listen to customer needs, handle inquiries and complaints with tact, and manage high-volume incoming calls
• Send daily reminders to upcoming clients regarding required documentation for a smooth check-in
• Assist with accident reporting, insurance claims, and deductible collections if a loaner is damaged
• Stage vehicles daily so loaners are cleaned, fueled, and parked in designated areas by 11:00 a.m.
• Execute loaner contracts with 100% accuracy, verifying driver’s licenses, insurance, and credit card information
• Perform vehicle walk-arounds at check-out and return; track stock numbers, keys, and unit utilization
• Use Dealerware and Excel to track RO numbers, vehicle status, and fleet swaps
• Partner with outside body shops and third-party rental agencies to keep vehicles available

What We’re Looking For:

• At least 1 year of experience in a customer-facing role (automotive or rental car experience is a major plus)
• High school diploma or equivalent
• Proficiency in MS Office (Excel/Word) and the ability to quickly learn dealership management software (Dealerware)
• Exceptional verbal and written skills, including the ability to de-escalate situations professionally
• Valid driver’s license and clean driving record
• Organized, tech-savvy, and comfortable in a fast-paced automotive environment

This is an on-site, in-person role. Non-exempt positions are typically planned for approximately 40 hours per week.
